Where to find it

Click Receivables in the top navigation bar. The home dashboard also shows an UNPAID tile in red — clicking it takes you straight here. There are two tabs: Payments (sessions and packages) and Memberships.

Summary tiles

  • Total Outstanding — grand total of all unpaid amounts
  • Sessions — count and total of unpaid individual session payments
  • Packages — count and total of package invoices sent but not paid
  • Overdue (7+ days) — turns red when overdue items exist. Zero is healthy.

Filter tabs

ALL — every unpaid item. SESSIONS — unpaid sessions only. PACKAGES — unsettled package invoices. OVERDUE — items 7+ days old. Use Overdue for your weekly collections review.

Reading each row

Each outstanding payment shows: CLIENT (name & email), ITEM (SESSION or PACKAGE badge), DATE, AMOUNT (including tax), and STATUS:

  • Sent today (blue) — invoice or payment link sent today
  • Pending Xd (amber) — sent and awaiting payment, with days elapsed

Package rows also show usage (e.g., “0 of 10 used”) — useful context when deciding whether to follow up.

Action buttons

RECEIVED (green) — opens the full Checkout modal. Collect payment right now by any method (card, e-transfer, cash, package, or defer).

REMIND (grey) — sends the client a payment reminder email with a link to their outstanding invoice. Greyed out on days when a reminder was already sent — prevents double-sends. Reactivates the next day.

WRITE OFF (red) — marks the payment as uncollectable. The session stays in history with a Voided status. The amount appears in the Denials & Write-Offs section of Reports. This is permanent.

Memberships tab

Awaiting Payment — membership plans where a payment link was sent but the client hasn’t completed setup yet. Click RESEND LINK to send a fresh link. “Unknown client” means someone started via your booking page but hasn’t completed payment yet.

Failed Renewals — monthly auto-renewals that failed (expired card, insufficient funds). Click RESEND LINK so the client can update their card. Address these promptly — clients often don’t notice a failed charge themselves.

Daily & weekly routine

Every morning (2 min): Open Receivables. Glance at the four tiles. Check the Memberships tab for new Awaiting Payment or Failed Renewals.

Every Monday (5 min): Click the OVERDUE filter. For items older than 7 days with no response, click REMIND. For items older than 30 days, consider WRITE OFF or a direct phone call.

Tips & things to know

The REMIND button throttles itself — one reminder per day per item maximum. If the button is greyed out, a reminder already went today.

Write-offs show in Reports — the Denials & Write-Offs section gives you a full picture of uncollected revenue for tax and accounting purposes.

Collect from Receivables OR the Sessions calendar. Click a session → CHECKOUT leads to the same Checkout modal. Use whichever is convenient.
